Records Maintained by the City of Eustis

Step 1: Confirm the Record Is Maintained by the City of Eustis

The City of Eustis maintains public records created or received in the course of conducting City business and can only provide access to records that are maintained by the City. If the record you are requesting is maintained by another city, county, state agency, or other governmental entity, you will need to submit your request directly to that agency.

Examples of records maintained by the City include, but are not limited to:

  • Fire Department records
  • Building permits and permitting documents
  • Personnel records (subject to applicable exemptions)
  • Police reports and law enforcement records (subject to applicable exemptions)
  • City Ordinances and Resolutions
  • City Commission Meeting Agendas and Minutes
  • Other Public Records Maintained by City Departments

Step 3: Tips for Submitting Your Request

To help staff locate responsive records as efficiently as possible, please provide as much detail as you can, including:

  • Relevant date or date range
  • Names, addresses, or keywords
  • Permit number, case number, report number, or other identifying information, if known
  • Department or subject matter related to the records

Helpful Tips

  • Provide a valid email address so we can communicate with you regarding your request and if you would like to receive status updates and records electronically.
  • You may submit a public records request anonymously. However, providing a method of contact will allow staff to notify you of any questions, applicable fees, or when records are available. Florida law does not require you to provide your name or identify yourself when requesting public records. If you choose to remain anonymous, please provide a method of contact so we can notify you regarding the status of your request or any applicable fees.

Step 4: Review of Your Request

Each request is reviewed to determine the records responsive to the request and whether any records are exempt or confidential under Florida law. Pursuant to Chapter 119, Florida Statutes, the City may assess a reasonable special service charge and fees as authorized by Section 119.074(4), including copy charges and the actual cost of extensive clerical or supervisory assistance or extensive information technology resources required to fulfill a request. When applicable, an estimate of fees will be provided, and payment is required before processing and release of records.

Step 5: Receive Your Records

When your request has been completed, you will be notified with the records or that the records are available. Responsive records will be provided electronically, whenever possible, or made available for inspection, pickup, or mailed for an additional fee.
